Scope of Policy

Greenline Group Pty Ltd ACN 113 674 561 (“Greenline”, “we”, “us” and “our”) complies with all laws and regulations in respect of the collection and handling of Personal Information. This Privacy Policy tells you about how we collect, store, use and disclose  Personal Information about our visitors, suppliers, customers, stakeholders, partners contractors, employees and people who apply for employment with us, and how we comply with our obligations under the Privacy Act 1988 (Cth) (“Privacy Act”).

At times it is necessary to gather information from people who we have dealings with to enable us to conduct our operations and improve and refine the goods and services that we provide. The types of Personal Information we collect is dependent on our interactions with you. This Policy should be read together with our website terms and conditions.

By visiting and/or using our website www.greenline.com.au, you agree to the terms of this policy and you consent to our use and disclosure of your Personal Information in accordance with this Policy.

In this Policy “Personal Information” has the same meaning as defined in the Privacy Act (and includes “sensitive Personal Information”). Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not, or recorded in a material form or not.

The type of Personal Information we collect

Greenline collects Personal Information from customers, stakeholders, contractors, employees, job applicants, partners, website visitors, and persons that we interact with on social media. We may also collect information from suppliers and other parties we deal with (collectively “you”, “your”).

The type of Personal Information we collect depends on the dealings you have with us, and may include your:

• address (postal and email);
• telephone numbers;
• government related identifiers where permitted;
• financial information (including TFN, billing address, bank account details);
• proof of identity documents;

Greenline may collect financial information where you provide it to us via our website for the purpose of purchasing goods or services from us. We will only use your financial information for the purpose for which it was collected and in accordance with this privacy policy.

We do not intend to solicit or collect Personal Information from anyone under the age of 18. If you are under 18, you should not use or enter information on this site, including without limitation, any interactive areas of the site.

Why we collect and how we use your Personal information

We use the Personal Information you have given us for purposes which are consistent with the reason you provided the Personal Information, for a related purpose (and in the case of sensitive Personal Information, for a directly related purpose), when it is reasonably necessary to undertake our business activities and functions, or as otherwise permitted by law. How we collect Personal Information

We collect the Personal Information you give us in a number of ways such as in person when you attend our premises, online by interacting with us on social media, by email, post and facsimile, or over the phone. Personal information such as your name, your mailing address, email address, and phone number will be collected when you first have dealings with us and is collected so that we can conduct our business more efficiently.

Occasionally we will collect your Personal Information indirectly through a transaction, online enquiries regarding the goods and services we offer, and attendance at events, business cards, online queries, by interactions with us on social media and telephone conversations.  We may also collect your information from third parties in some instances, for example, we may use third parties to analyse traffic at our website, our blogs and social media channels, which may involve the use of cookies, or we may collect an employment reference from another person.

If we collect sensitive Personal Information, it will be collected and handled in accordance with all applicable laws.

How we disclose your Personal Information

We may disclose your Personal Information to undertake any of the purposes set out above, where permitted or required by law. Where practicable, Personal Information will be de-identified.

Greenline may disclose Personal Information to our overseas contractors located in the Philippines, our cloud service providers and to other organisations outside Australia, for example where:

• our overseas contractors require access to Personal Information to fulfil their contractual obligations to us;
• our cloud services providers back-up information in foreign jurisdictions;
• an international payment has been made; or
• we are participating in international conferences/exchanges.

The location of our overseas contractors may change from time to time and we will notify you of any change to the location of overseas recipients of Personal Information if it is practicable to do so.

We cannot and do not take any responsibility for maintaining the security of your Personal Information on any other website or app linked with our website or app. If you have any queries or enquiries regarding the handling of Personal Information, please make direct access to each relevant website.

Use of our website, online software and cookies

When you visit our website, other kinds of information may also be collected automatically as part of our website’s operation. This includes the website that referred you to us, your IP address, browser type and language, and access times. We may link to websites, including those of our third-party content providers and social media sites.  Our website may contain social media features such as Facebook “Like” buttons. These features may collect information about your device’s IP address, set cookies, or link you to a social media website where you may post Personal Information. The sites of our third-party providers and social media sites may have different privacy policies and practices which govern the collection of Personal Information and differ from such practices disclosed here. We have no control over or responsibility for the policies or practices of such sites and encourage you to become acquainted with them prior to use to avoid

Storage and Security

The security of your Personal Information is important to us. We follow accepted industry standards to help protect your Personal Information. No method of transmission over the internet, or method of electronic storage, is 100% secure. Therefore, while we strive to protect your Personal Information, we cannot guarantee its absolute security and any transmission of Personal Information is at your own risk. We take all reasonable steps to protect Personal Information from misuse, interference and loss, as well as unauthorised access, modification or disclosure.

Direct Marketing

Greenline or our external service providers may send you surveys or marketing communications to inform you of new products or services or other information that may be of interest.

If you do not want to receive direct marketing communications from either us or our third party providers, it is easy to opt out. Please keep in mind that, if you choose not to receive marketing communications, you will continue to receive transactional or account communications (e.g., confirmation emails and account balance statements).

Access to, correcting and updating your Personal Information.

You have, subject to certain exceptions allowed for by law, certain rights in respect of your Personal Information. This includes the right to seek access to and correct the Personal Information which we hold about you by contacting Greenline by the means provided below. Any request to provide access to this information will be dealt with within a reasonable time. We will require you to verify your identity and to specify what information you require prior to access being provided. We can provide you with a copy of Personal Information held on our current records at no charge. However, if we need to access archived records, such as Personal Information backed up or stored offsite, then we may charge for the cost of providing such access.

If Greenline withholds access to Personal Information, Greenline will provide written reasons to the extent required and how the applicant may complain about the refusal. Alternatively, we will consider whether the provision of access to an independent third party will meet Greenline’s and the relevant applicant’s needs.

Changes to this Privacy Policy

We may change the terms of this privacy policy at any time as we add new features or as laws change which may affect our website. If there are material changes we will post a notice of such changes here or on our home page and publish the effective date of the change. We encourage you to periodically review this policy whenever you visit our site to see if there have been any changes to our policies that may affect you.
